Concepts in Records Management for Local Governments Workshop

Every local government in Ohio creates records on an on-going basis. With physical storage space at a premium, the proliferation of electronic records, and the attention that recent legislation has brought to public records, the time is right to begin or review your government’s records management program. When is it okay to dispose of public records? Is there a process to follow? What about e-mail?
This workshop will address these questions and other key concepts in records management, including the records retention and disposition process for Ohio’s local governments.
“Just the Basics” will introduce records-keepers to the records management practices in Ohio, including the procedures for creating records retention schedules and filing certificates of disposal with the State Archives. Activities will be used to reinforce the lessons presented. Key concepts will include:
- Pertinent Definitions and Ohio Revised Code
- Local Records Commissions
- Inventory Preparation
- Determining Retention Periods
- Records Retention Schedules
- Certificates of Records Disposal
- Storage/Environmental considerations
Electronic Records will focus on how the general procedures discussed in “Just the Basics” apply to the increasing numbers of electronic records being created or received by local governments. It will highlight key things to consider when maintaining electronic records. Key concepts will include:
- Media Decisions (paper, microfilm or electronic)
- Defining Electronic Records
- Scheduling Electronic Records
- Guidance for Managing Electronic Records
- Electronic Mail (E-mail)
- Digital Imaging Decisions
